This role is responsible for sourcing and procuring goods and services to support o ice and factory operations in a cost-e ective and timely manner while maintaining quality standards and compliance with company policies. The Procurement O icer ensures smooth end-to-end procurement processes, from supplier sourcing and selection to order tracking and coordination with internal stakeholders.

Key Responsibilities

1. Sourcing & Supplier Management

  • Source potential suppliers for materials, equipment, and services to support business operations
  • Request quotations (RFQ), compare prices, terms, and conditions, and prepare summary for approval
  • Evaluate and select suppliers based on price, quality, service, and delivery capability
  • Maintain and update approved supplier list
  • Build and maintain good relationships with existing and new suppliers

2. Procurement Operations

  • Develop procurement plans based on operational or project requirements
  • Issue Purchase Orders (PO) accurately and in a timely manner
  • Coordinate with requestors to ensure clarity of specifications and delivery requirements
  • Track and follow up on PO status to ensure on-time delivery
  • Handle issues related to delivery delays, quality discrepancies, or quantity shortages

3. Cost Control & Market Research

  • Conduct basic market research to monitor pricing trends and identify cost- saving opportunities
  • Support cost comparison and price negotiation with suppliers
  • Ensure procurement activities align with approved budgets

4. Contract & Documentation

  • Assist in preparing and reviewing procurement-related contracts and agreements
  • Support financial settlement process including invoice verification and payment coordination
  • Maintain proper procurement documentation and records

5. Inventory & Reporting

  • Prepare reports on raw material and equipment usage
  • Coordinate with warehouse or relevant departments to monitor stock levels
  • Support inventory control to prevent stock shortages or overstock

Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, or related field
  • 2–5 years of experience in procurement or purchasing
  • Experience in supplier sourcing and price comparison
  • Good negotiation and coordination skills
  • Able to work under pressure and manage multiple tasks
  • Proficient in MS O ice (especially Excel) and ERP systems
